Entering header data

The header data applies to the consignment as a whole. You enter it in the Zoll tab of a completed delivery. This page goes through the sub-tabs one by one.

Tip

Load your default values first. After that you only need to add whatever differs from the template.

Note

Almost every field carries a help text. Hover over the field label or click the question mark to display its meaning in customs terms.

Sub-tab Anmeldung (declaration)

Here you determine what kind of declaration this is.

Field Meaning
Art der Anmeldung (type of declaration) Fixed at EX — the module only covers export declarations. Not editable.
Vorauswahl (preselection) Fixed at Ausfuhranmeldung (export declaration). Not editable.
Art der Ausfuhranmeldung (type of export declaration) The eight-digit code determining the kind of declaration. Mandatory.
  1. Under Art der Ausfuhranmeldung, select the applicable code from the list.
  2. Click Save.

Important

The Art der Ausfuhranmeldung controls the whole form: depending on the code selected, the declaration shows or hides fields that do not apply to that kind — for example Ausfuhrzollstelle, Gestellung von and bis, Gestellungszollstelle or Abgabe der eAM bei. Choose the code first. If you change it later, review the other sub-tabs again.

This sub-tab also holds two buttons:

  • E-Mail an Helpdesk (GlobalBases) senden — opens a prepared email to support.
  • Hilfeseiten zum IAA-Plus Zoll Modul — opens the help pages in a new window.

To the right are the areas Standardwerte speichern und laden and Vorgabewerte aus anderem Versand; both are described under Using default values.

Sub-tab Allgemein (general)

This holds the framework data of the export operation.

Field Meaning
Bestimmungsland Country to which the goods are actually exported. Preset from the consignee.
Ausfuhrland Country from which the goods are exported. Preset from the declarant.
Ausfuhrzollstelle Customs office to which the declaration is submitted. Preset from the base settings.
Ausgangszollstelle Customs office through which the goods are to leave the customs territory of the Union.
Gestellung von / Gestellung bis Period of the planned presentation and of packing and loading.
Gestellungszollstelle Customs office in another member state where the goods are available for control. Only relevant for centralised clearance.
Sicherheit Entry on security in the export operation.
Indikator für besondere Umstände Indicator for special circumstances.
Abgabe der eAM bei Customs office where the supplementary declaration is lodged. Only for a simplified export declaration.
Beförderungskosten Method of payment of the transport charges.
Gesamt-Rohmasse Sum of the gross masses of all goods items, in kilograms.
Manuell Checkbox for entering the total gross mass yourself.
Bezugsnummer (LRN) Your unique internal reference. Mandatory; it must not be reused.
Referenznummer/UCR Unique consignment reference. Assigned automatically in the format EX/000001 when the delivery is completed.
Registriernummer Fremdsystem Registration number of a system at exit, for example from an air freight or port system.

Important

The Bezugsnummer (LRN) is mandatory and must be unique per declaration. An LRN once used must not be issued again. Unless you have a system of your own, the automatically assigned Referenznummer/UCR is a good template.

Adjusting the total gross mass

By default, Gesamt-Rohmasse is the sum of the gross masses of all goods items and is read-only. If the actual weighed weight differs, proceed as follows:

  1. Tick Manuell. The value calculated so far is copied as a suggestion.
  2. Enter the actual Gesamt-Rohmasse.

The module then distributes the total you entered proportionally across the goods items, in the ratio of their net masses. Rounding differences are balanced on the last item, so that the sum matches your entry exactly.

Note

As long as Manuell is ticked, the gross mass of an individual goods item can no longer be edited — it follows from the distribution. The gross and net mass fields are also only editable if this was enabled in the base settings.

Sub-tab Lagerort (goods location)

Here you state where the goods are.

  1. Select the Art des Ortes (type of location).
  2. Select the Art des Bestimmungsortes (type of location identification). This choice determines which fields appear below.
  3. Fill in the fields shown.
Art des Bestimmungsortes Fields shown
Y — authorisation Bewilligungsnummer, Zus. Kennung
Z — address Lagerort Adresse, Strasse / Nr, PLZ, Ort, Zusatz, Land
W — GNSS GNSS-Breitengrad, GNSS-Längengrad
U — UN/LOCODE UN/LOCODE

With all four types, the Ansprechpartner am Warenort area additionally appears, with Ansprechpartner, Name, Telefon and eMail. Select a contact; name, phone and email are copied.

Important

With type Z, changing the address fields also changes the underlying contact. See Goods locations.

Sub-tab Anmelder (declarant)

Here you record the parties on your side.

Two checkboxes control how much you have to enter:

  • Anmelder ist Ausführer (declarant is the exporter) — if ticked, the entries for the exporter are omitted.
  • Subunternehmer beauftragt (subcontractor engaged) — the subcontractor fields only appear once it is ticked.
Area Fields
Anmelder Anmelder (company), TIN, Niederlassungsnr
Anmelder / Ansprechpartner Name, Stellung, Telefon, Telefax, eMail
Ausführer Ausführer, TIN, Niederlassungsnr or name and address
Ausführer / Ansprechpartner Name, Stellung, Telefon, Telefax, eMail
Subunternehmer Subunternehmer, TIN, Niederlassungsnr or name and address
Subunternehmer / Ansprechpartner Name, Stellung, Telefon, Telefax, eMail

Procedure for each party:

  1. Select the company in the dropdown. Only contacts of type Company are offered.
  2. The module fills the remaining fields from the contact.
  3. Add the Telefax number where needed; it is not copied from the contact.

Note

If a TIN is stored on the selected company, name and address are hidden — the identification number then replaces the address. Without a TIN, name, street, postcode, city and country appear to be filled in. It is best to maintain the TIN permanently on the contact, see Customs data on contacts.

Sub-tab Versender / Empfänger (consignor / consignee)

Area Fields
Versender Versender ist Anmelder, Versender, TIN, Niederlassungsnr, Name, Straße, PLZ, Ort, Land
Empfänger TIN, Niederlassungsnr, Name, Straße, PLZ, Ort, Land
Lieferketten-Beteiligter List with Lieferkette (role) and Identifikationsnummer Firma

Procedure:

  1. Tick Versender ist Anmelder if you ship yourself. All other consignor fields then disappear.
  2. Otherwise select the shipping company under Versender.
  3. The Empfänger data comes from the delivery address of the delivery and cannot be edited directly. Correct it on the contact.
  4. Record Lieferketten-Beteiligte where needed: click Add a line, select the role and enter the identification number. Use the handle on the left to change the order.

Note

Consignor data is permitted either at header level or per goods item, not both at once. If individual items have a different consignor, record it there — see Entering goods items.

Sub-tab Sonstiges (other)

Area Fields
Lieferbedingungen (Incoterm) Incoterm-Code, UN/LOCODE, Ort, Land
Geschäftsvorgang / Rechnung Rechnungsbetrag, Währung, Art des Geschäfts, button Rechnungsdaten übernehmen
Verkehrsmittel Inland Inland
Beförderung zum Abgangsort List with Beförderung beim Abgang, Kennzeichen, Land
Verkehrsmittel Grenze Grenze
Grenzüberschreitendes aktives Beförderungsmittel Beförderung beim Abgang, Kennzeichen, Staatszugehörigkeit
Beförderungsroute List with Code and Land

Copying invoice data

The Rechnungsdaten übernehmen button looks for the invoices belonging to the delivery's source document and copies from them:

  • the Rechnungsbetrag as the sum of the lines,
  • the Währung (currency),
  • the Incoterm-Code,
  • the statistical value per goods item.

  • Make sure the invoice for the order has already been created.

  • Click Rechnungsdaten übernehmen.

Important

If no invoice exists yet, an error message appears. In that case create the invoice first, or enter amount, currency and statistical values by hand. Only invoice lines with products of type Goods are taken into account.

Route

The route contains the countries of the movement in chronological order, including the country of export and the country of destination. Two lines — country of export and country of destination — are created automatically when the delivery is created.

  1. Click Add a line to add a country of transit.
  2. Use the handle on the left to put the lines in the right order.

Note

As a rule one of the countries in the route must be DE.

Sub-tab Packstücke & Container (packages and containers)

Here you record packages and containers for the whole consignment.

Area Fields per line
Packstücke Verpackungsart, Anzahl, Zeichen / Nummer
Container Nummer
  1. Click Add a line.
  2. Select the Verpackungsart and enter Anzahl and Zeichen / Nummer.
  3. Repeat this for every further package type.
  4. Record the container numbers in the Container area.

Tip

If individual goods items differ from these entries, record them separately there. The header entries can be copied into the item at the click of a button — see Entering goods items.

Sub-tab Unterlagen (documents)

Here you record all documents and references at the level of the whole consignment.

Area Fields per line
Zusätzliche Informationen Zusatzinfo, Description
Vorpapiere Vorpapier, Referenz
Unterlagen Unterlage, Referenz
Sonstige Verweise Sonstiger Verweis, Referenz
Transportdokumente Transport, Referenz
  1. Click Add a line in the area concerned.
  2. Select the type from the list and enter the reference.
  3. Order the lines with the handle on the left where needed.

Note

For the code X0000 under Zusätzliche Informationen, an explanatory text in the Description field is mandatory.
