Reference data and code lists¶
A large part of the export declaration consists of official keys: customs offices, package types, procedures, document types, dangerous goods numbers and many more. The module calls these key registers Hilfsdaten (reference data). They are obtained from the customs service and are then available as dropdown lists wherever you have to state a code.
Prerequisite
The reference data can only be loaded once API URL and API Key are stored. See IAA-Plus base settings.
Load the reference data for the first time¶
- Open Settings and select the IAA-Plus section.
- In the Settings block, click Hilfsdaten laden (load reference data).
- Wait for the message to appear. The first import covers more than fifty lists and takes a few minutes depending on your connection.
If a warning appears saying that no API URL is configured, add the credentials first and repeat the step.
Automatic daily update¶
After the initial setup you normally no longer have to think about the reference data: the module reconciles the lists automatically once a day. It first checks which lists have changed since the last run; only those are reloaded. The update runs for every company that has an API URL stored.
Tip
Click Hilfsdaten laden manually in addition whenever customs has announced a change you need straight away — a newly established customs office, for instance, or an amended document type.
View the reference data¶
You can look up the loaded lists at any time:
- Open the Inventory app.
- Select Configuration → Zoll - Hilfsdaten.
- Select the list you want.
Every list shows a description and a code; some lists contain additional columns such as notes or validity dates.
Important
Do not change or delete any entries in the reference data. These are official keys. Your own changes are overwritten at the next update and until then cause errors when your declaration is validated.

Goods numbers and special units of measure¶
Besides the code lists, the reference data contains two registers from the German goods nomenclature for foreign trade statistics. They are loaded by the same buttons and in the same daily update as the code lists:
| Menu entry | Content |
|---|---|
| Warennummern | All valid goods numbers with description and the related special unit of measure |
| Besondere Maßeinheiten | Key number, German and English abbreviation and full text of the special units of measure (BM) |
The goods numbers comprise almost ten thousand entries. Use the search above the list to find a number or a goods description.
This register is also the source of the Warenbezeichnung of the goods items: when a goods item is created or refreshed via Produktdaten übernehmen, the module enters the official German description for the product's commodity code. If the goods numbers have not been loaded yet, the Warengruppe Beschreibung from the product master is used.
Together the two registers also yield the supplementary unit of a goods item: the commodity
code carries the key number and the abbreviation, the supplementary units the full text for it —
both are shown, for example St — Stück. The key number 0 means the commodity code requires
no supplementary unit. If the registers have not been loaded yet, the place stays empty and
there is no warning.
Why do some lists exist twice?
Some entries may be given either for the consignment as a whole or per goods item. Customs maintains separate key registers for this — recognisable in the module by the suffixes (GS) for the whole consignment and (SI) for the consignment item. You do not have to worry about this: each input field automatically uses the correct list.
