Checking and exporting¶
Once the header data and goods items are complete, you have the record validated and then generate the XML file. Both steps run from buttons in the header area of the delivery.
The two buttons¶
| Button | Visible when | Effect |
|---|---|---|
| Check Export File | The declaration has not yet been validated successfully | The record is passed to the customs service and checked |
| Generate IAA-Plus Export File | The check was successful | The XML file is generated and attached to the delivery |
Only ever one of the two buttons is visible. That fixes the order: check first, then export.
Step 1 — check¶
- Open the completed delivery.
- Click Check Export File in the header area.
- Wait for the response.
On success, a message appears in the delivery's chatter stating that the data was checked successfully, that the record is consistent and that it has been released for the export file to be generated. The Check Export File button disappears and Generate IAA-Plus Export File appears in its place.
On error, an entry with the customs service's response is added to the chatter. As a rule it names the field objected to and the reason.
- Read the chatter entry.
- Correct the entries named in the Zoll tab.
- Click Check Export File again.
Important
If nothing at all happens when you click Check Export File, there is usually no API URL stored. Check the base settings.
Common validation messages and their causes¶
| Objection | Where to correct it |
|---|---|
| Type of export declaration missing | Anmeldung sub-tab |
| Reference number (LRN) missing or already used | Allgemein sub-tab |
| Commodity code of an item missing | Produkte tab, goods item — usually the commodity code is missing on the product |
| Statistical value missing | Produkte tab, or the Rechnungsdaten übernehmen button |
| Consignor given twice | Either the header data or the goods item, not both |
| Customs office unknown | Reload the reference data, see Reference data and code lists |
Step 2 — export¶
- Click Generate IAA-Plus Export File.
- Wait for the response.
On success, the chatter shows the message „Dokument erfolgreich erstellt." (document
created successfully) and the XML file is attached to the delivery. It is named after the
delivery, for example AtlasPlus-WH/OUT/00012.xml.
On error, the customs service's response is added to the chatter — depending on the error, together with the XML content generated so far. The case then counts as unchecked again; correct the data and start over with Check Export File.
Download the XML file¶
- Open the delivery.
- Click the paperclip icon on the right of the chatter area.
- Select the file
AtlasPlus-….xmland download it.
There is no need to archive the file separately — it stays attached to the delivery and is therefore assigned to the case in an audit-proof way.
Checking again after a change¶
If you change something in the declaration after a successful export, the change is not carried over into the file already generated.
- Click Generate IAA-Plus Export File again — provided the button is still visible. A second XML file is created as a further attachment.
- Make sure you use the most recent file in IAA-Plus.
Tip
Only export once the declaration is genuinely final. That way exactly one file stays with the case and no mix-up can occur.
Next steps¶
The file is ready. How it gets into IAA-Plus is described under Continuing in IAA-Plus.
